Controlled handling of information is critical to safe and efficient business operation. This is true for every type and size of business. But the amount of information handled increases year after year - and the methods of storage and disposal haven't always kept pace.

These days, a business needs to be able to store and dispose of information safely and securely. It has to be stored for long periods, and you need to be able to lay your hands on any piece of information at any point. And when the time comes to destroy a record, you need to know that this has been done reliably and comprehensively. You can't afford for dead information to have an afterlife.

In the past, archiving meant stuffing bank boxes full of papers, hiding them away in a loft or store room, then forgetting all about them. Until, that is, the auditors arrive or there's a query on an old transaction, when someone has to search through reams of paper amidst the dust and spiders. You might find what you need, you might not. If there's no ordered index, it can take a while! But even if you find what you need, it's not a controlled process.

And it's certainly not secure. Anyone could get into the store room. Anyone could take away what they liked, copy it and return it - and you'd never know anything about it.
